How clients get into your database

A client profile is created automatically the first time someone registers in your PWA. You can also create clients manually from the dashboard — useful for walk-ins, long-standing clients, or data you're migrating from another system.

Click any client to open their full profile.

  • Basic info: name, email, phone, and when they joined.
  • Booking history: every past and upcoming appointment, with status and price.
  • Vouchers: active vouchers they own, with remaining sessions.
  • Loyalty: current points balance, tier, and coupons earned.
  • Notes: private notes visible only to you and your team — preferences, allergies, past observations.

Using internal notes well

Internal notes are one of the most underused features in Bellafy — and one of the most valuable. Clients notice when you remember their preferences; notes make that possible across every team member.

  • Sensitivities and allergies (relevant for product selection).
  • Preferences — music, temperature, pressure, conversation style.
  • Past observations — "prefers late afternoon slots", "usually books the week before a trip".
  • Special dates — birthdays, anniversaries, wedding dates.

Communication and consent

Each client's profile shows their communication consents — whether they accepted push notifications, transactional emails, and (where relevant) marketing emails. Consents are collected at the moment of registration and can be revoked by the client from their own settings in the PWA.

Bellafy respects every consent flag automatically. You cannot send a push to a client who opted out, and our reminder emails go out only to clients who accepted transactional communication.

Deleting a client

You can delete a client from their profile. Deletion is permanent and removes the client's personal data — but past reservations are anonymized rather than erased, so your financial records and reports stay intact.
